With over 25 years of experience serving world-class clients in live events, trade shows, and experiential marketing, we pride ourselves on delivering the highest quality graphics with speed, precision, and reliability.
We are seeking a Customer Service Representative / Project Manager to join our team. This individual will be the bridge between our clients and our production team—ensuring that every project is accurately scoped, communicated, and executed on time and within budget.
Key ResponsibilitiesClient Communication & Support
Act as the primary point of contact for assigned clients, ensuring prompt, professional, and courteous communication.
Provide quotes, order confirmations, and project status updates.
Manage customer expectations and resolve issues proactively.
Project Management
Intake, review, and enter project details into ShopVOX (or internal systems).
Verify artwork specifications, finishing instructions, materials, and installation requirements.
Coordinate timelines with pre-press, print, finishing, and installation teams.
Track jobs through production and follow up to ensure deadlines are met.
Operations & Documentation
Generate purchase orders, job tickets, and invoices as needed.
Ensure projects follow company SOPs and QC standards.
Maintain accurate records of client interactions and project changes.
Assist with collections, COD processes, and client payment tracking when required.
Collaboration
Work closely with production leads, graphic designers, and installers to align client needs with internal capabilities.
Provide feedback from clients to management for continuous improvement.
Support the sales team in onboarding new clients and maintaining relationships.
Qualifications
Previous experience in customer service or project management, preferably in printing, signage, events, or related industries.
Strong organizational skills with the ability to manage multiple projects at once.
Excellent written and verbal communication skills.
Proficiency with project management or MIS software (ShopVOX, Mothernode, or similar).
Working knowledge of QuickBooks Online is a plus.
Ability to read and understand artwork specs, proofs, and large-format print requirements (preferred but not required).
