- Serve as the primary administrative support to the Director of Transportation and assist with daily department operations.
- Coordinate transportation services including route modifications, special education transportation, activity trips, field trips, substitute coverage, and emergency transportation needs.
- Support dispatch operations by communicating route changes, vehicle breakdowns, accidents, weather-related impacts, and other operational updates.
- Maintain transportation records and databases, including driver qualifications, training records, licensing requirements, route information, student transportation records, fleet documentation, and compliance reports.
- Collect, reconcile, document, and process payments received from drivers and transportation personnel; prepare deposits and maintain accurate financial records in accordance with district procedures.
- Coordinate driver certification, training, medical certification tracking, and regulatory compliance requirements.
- Document and maintain records related to accidents, injuries, student incidents, vehicle breakdowns, complaints, and other transportation-related events.
- Coordinate department meetings, training activities, and special projects.
- Provide information and guidance regarding transportation policies, procedures, and services to employees, parents, schools, and community members.
- Prepare correspondence, reports, and other department documents as needed.
- Monitor departmental assignments and projects to ensure timely completion and compliance with district requirements.
- Perform other duties as assigned in support of Transportation Department operations.
- Knowledge of office administration, recordkeeping practices, transportation operations, dispatch procedures, student transportation regulations, district policies and procedures, budget and purchasing processes, office technology systems, and confidentiality requirements.
- Skills in customer service, public relations, organization, record management, report preparation, professional communication, project coordination, problem-solving, conflict resolution, and managing multiple priorities in a fast-paced environment.
- Ability to work independently, maintain confidentiality, communicate effectively with diverse groups, adapt to changing priorities and emergency situations, and learn and utilize transportation-related software and technology systems.
- High School Diploma or equivalent required.
- Preferred: Associate degree or coursework in Business Administration, Office Management, Transportation Management, or a related field.
- Three (3) years of administrative, secretarial, dispatch, customer service, or transportation-related experience preferred. School district transportation experience is highly desirable.
- Experience with transportation routing and dispatch software.
- Experience maintaining transportation compliance records and reports.
- Experience with GPS, transportation communication systems, or fleet management software preferred.
- Bilingual or second-language proficiency preferred.
