Job Summary
We are seeking a detail-oriented and people-focused Human Resources Coordinator to support the daily operations of our HR department. The HR Coordinator serves as a key point of contact for employees and candidates, assisting with recruitment, onboarding, benefits administration, and HR recordkeeping. The HR Coordinator reports to the Human Resources Manager and works closely with all departments to ensure HR programs and policies run smoothly and in compliance with applicable regulations.
Responsibilities
- Coordinate the full-cycle recruitment process, including posting job openings, screening resumes, scheduling interviews, and communicating with candidates
- Facilitate new hire onboarding, including preparing offer letters, conducting orientation sessions, and processing new hire paperwork
- Maintain accurate and confidential employee records in the HRIS and personnel files
- Assist with benefits administration, including enrollments, changes, terminations, and responding to employee benefits questions
- Support payroll processing by tracking attendance, time-off requests, and employment changes
- Help plan and execute employee engagement activities, training sessions, and company events
- Respond to employee inquiries regarding HR policies, procedures, and programs, escalating complex issues as needed
- Assist with compliance activities, including required postings, reporting (e.g., EEO-1), and audits
- Process employment verifications, background checks, and offboarding documentation
- Assist with work visa documentation and employment contracts, including tracking visa timelines, coordinating with sponsoring agencies or legal counsel, and maintaining compliant contract records
- Serve as a bilingual (English/Spanish) resource for employees, translating HR documents and communications as needed
- Prepare HR reports, metrics, and presentations as requested by HR leadership
- Support performance review cycles by tracking deadlines and distributing materials
- Perform other administrative duties as assigned to support the HR team
Requirements
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent work experience)
- 1–2 years of experience in an HR, administrative, or office support role
- Working knowledge of basic HR practices and employment laws (e.g., FMLA, ADA, FLSA)
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong organizational skills and exceptional attention to detail
- Excellent written and verbal communication skills
- Ability to handle sensitive information with discretion and maintain strict confidentiality
- Strong interpersonal skills and a customer-service mindset
- Familiarity with work visa programs and employment contracts (e.g., H-2A/H-2B visa processes, I-9 verification, and contract labor agreements)
- Bilingual in English and Spanish (verbal and written) — required
Work Environment & Schedule
- Full-time, Monday–Friday
- Office-based with occasional flexibility for remote work (adjust as needed)
- Occasional extended hours during peak periods such as open enrollment or hiring surges
