Job Title: Administrative Assistant, Global Commercialization
Location: Plainsboro NJ
Duration: 6 Months
Role Summary
The Administrative Assistant is a trusted operational partner to the Global Commercialization organization, providing administrative, procurement, and operational support to enable the efficient execution of business priorities. Working closely with the Executive Assistant supporting the Global Commercialization leadership team, this role helps ensure seamless administrative, operational, procurement, and vendor management support across the organization.
The Administrative Assistant serves as a key coordinator for vendor onboarding, contracting, purchase orders, invoice management, and budget-related processes, ensuring compliance with company policies and the timely payment of external partners.
In addition, this role supports meeting coordination, travel and expense management, leadership events, and cross-functional communications. Success in this position requires strong organizational skills, attention to detail, proactive problem-solving, and the ability to manage multiple priorities in a fast-paced, regulated environment.
Requirements
• High school diploma or GED required; associate or bachelor's degree preferred.
• 3 years of administrative, operations, procurement, finance, or project coordination experience in a complex corporate environment.
• Proven ability to handle highly confidential information with discretion and independently resolve complex prioritization challenges.
• Advanced proficiency in Microsoft 365, including Outlook, PowerPoint, Excel, Teams, and SharePoint.
• Experience with enterprise travel, expense, and procurement workflows (e.g., Concur )
• Strong written and verbal communication skills, stakeholder management, and professional presence.
• Proven ability to plan and execute onsite and offsite meetings and events with logistical excellence.
• Demonstrated experience supporting vendor onboarding, contracting processes, purchase orders, invoice management, and payment coordination.
• Experience partnering with Finance, Procurement, Legal, Compliance, and external vendors to manage operational workflows and resolve issues.
• Proven ability to manage multiple priorities while maintaining accuracy, attention to detail, and exceptional customer service.
Preferred Qualifications
• Experience in pharmaceutical, biotechnology, healthcare, or another regulated industry.
• Experience supporting commercial organizations and senior leaders.
• Familiarity with enterprise platforms such as Workday, SAP, DocuSign, Veeva, Smartsheet, or similar systems.
• Experience leveraging Microsoft Copilot or other AI-enabled productivity tools to improve efficiency and effectiveness.
Work Model and Location
• Hybrid role based in Plainsboro, NJ, with an expected on-site presence of three days per week.
• Additional on-site support may be required for leadership visits, town halls, offsites, team events, and other key business meetings.
