Job Description

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

• Oversees and trains Service Coordinator I & Administrative Assistant;• Sales – Sets up estimate appointments for new and current customer • Manage direct relationships with Property Managers, Vendors, Home Owners, and Customers;• Consults with clients to identify services and benefits, completes the paperwork, and connects them to calendars;• Collects, ensures accuracy, and expands information from database so the correct parts needed for the services requested are provided;• Maintains documentation on clients and properties as well as creating periodic reports and follow ups for management on services needed or rendered that may need a return call;• Organizing work order notes and back for billing after each service call;• Answers incoming phone calls, places return calls, handles emails & correspondence;• Schedules appointments with clients;• Researches and orders material for return service calls;• Maintains, oversees, and organizes Technicians’ calendars with 8 hours of work 5 days a week for 12 Techs;• Updating reports and database with new customer information, as well as device replacements for warranty details;• Revising data entry and maintenance of annual inspection reports & letters to be mailed;• Revising trouble reports and following up on letters to be mailed;• Tracking and contacting accounts that show ongoing troubles with their system or systems that are not communicating to then call to schedule service;• Schedules hotels for Techs when service consists of more than a day of service;• Generates estimates from Techs work order notes;• Schedules out of town service calls as well as extended stay and itinerary.

• Meeting Daily, Weekly and monthly deadlines and sales quotas.

QUALIFICATIONS:

• Minimum requirements for education are high school diploma or GED. Associate’s or Bachelor’s degree in business or related field is preferred;• 2-3 years’ experience required;• High proficiency with the Microsoft Office Suite is mandatory;• Excellent communication skills, communicate with coworkers, management and the ability to deal with difficult customers and active listening and interpersonal skills;• The ability to work and make solid decisions with little to no supervision; • TEAM PLAYER with a positive attitude • Bilingual is a plus
