- Own Your Inbox: Start your day by responding to early morning emails, closing out overnight electronic work orders, and setting up jobs for early-shift technicians.
- Monitor & Respond: Keep a sharp eye on Crown E-Orders and respond to calls in line with service level agreements.
- Keep Work on Track: Manage technician work-in-progress (WIP)—make sure nothing is over 14 days unless there’s a valid reason (like a parts delay or pending NTE).
- Stay On Top of Work Orders: Review and post work orders throughout the day, verifying labor and parts. Collaborate with FSMs and the parts manager as needed.
- Handle Service Calls with Care:
- Verify account status, collect payment info or PO numbers.
- Confirm billing and shipping info.
- Gather unit details and schedule service windows with the customer.
- Ensure technicians are fully informed before heading out.
- Support Quoting: Work with road techs to build and submit repair quotes within 72 hours. Partner with the parts team to get everything accurate before sending.
- Planned Maintenance: Set up new PM agreements as they come in. Assign PMs before each new month begins. Schedule with customers ahead of time, and coordinate with parts before techs are dispatched.
- Daily Team Updates: Keep your team’s daily report current so nothing slips through the cracks.
- Collaborate: Coordinate with other dispatchers to ensure full coverage—especially during high-volume times, holidays, or unexpected absences.
- Proven experience as a dispatcher in a fast-paced environment
- Associate’s Degree required; Bachelor’s Degree preferred
- Excellent communication, time management, and organizational skills
- Strong multitasking ability—you're comfortable juggling phone lines, emails, and schedules
- Proficiency in Microsoft Outlook and Excel
- Exceptional customer service instincts—you know how to make people feel heard
- Working knowledge of Maryland, Virginia, West Virginia, and DC
- Bonus if you have mechanical knowledge or experience with EquipSoft (our billing/service platform)
- Ability to sit for extended periods—this role is desk-based but critical
