Role Summary
A growing real estate organization is seeking a Tenant Coordinator to support its Property Management team. This role reports to a Property Manager and assists across multiple commercial property portfolios in the Northeast.
The position focuses on supporting day-to-day property operations, maintaining strong tenant and vendor relationships, and ensuring a high standard of service across assigned assets. It offers exposure to a range of properties and responsibilities, along with opportunities for professional growth within a collaborative team environment.
Key Responsibilities
Accounting & Financial Support
- Assist with daily property accounting functions, including accounts receivable and payable processes
- Track tenant balances and follow up on outstanding items in line with internal guidelines
- Help code and route invoices through financial systems and monitor payment status
- Coordinate with accounting teams to ensure accurate and timely tenant charges, billbacks, and utility postings
- Maintain organized financial documentation and records
- Support monthly billing reviews and reporting activities
Tenant Relations
- Act as a point of contact for tenant inquiries, ensuring prompt and professional communication
- Coordinate service requests and work orders, liaising with vendors and facilities teams to ensure completion
- Draft and distribute tenant communications such as notices and updates
- Assist with lease administration tasks, including abstracting leases and maintaining system records
- Support tenant move-ins and move-outs, ensuring all procedures and documentation are completed
Operations
- Coordinate with vendors and maintain records of service agreements and contracts
- Track certificates of insurance (COIs) for tenants and vendors, following up as needed
- Support ongoing property operations, including scheduled maintenance and vendor services
- Assist with administrative coordination for tenant improvements and capital projects
- Maintain organized property files and operational documentation
Qualifications
- 1–3 years of experience in commercial property management or a related field
- Bachelor’s degree required
- Understanding of property operations, administration, and basic financial processes
- Proficiency in Microsoft Office (Word, Excel) and property management/accounting software (e.g., Yardi or similar platforms)
- Strong communication skills with the ability to interact professionally with tenants, vendors, and internal teams
Salary : $60,000 - $70,000
