Duties
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer support skills
- Answer inquiries via phone, email, or in person, providing accurate information or directing calls to appropriate departments
- Schedule appointments and coordinate calendar management for staff or executives as needed
- Maintain organized filing systems—both physical and digital.
- Perform data entry tasks with accuracy, including updating records in our EMR.
- Support office management activities including supply inventory, mail handling, and general administrative support
- Handle confidential information discreetly while providing exceptional customer service at all times
- Support specialized roles such as medical receptionist tasks if applicable, including patient check-in and appointment scheduling
- Contribute to bookkeeping activities by managing invoices or basic financial records when required
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Excellent computer literacy across Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Strong typing skills with high accuracy for data entry tasks
- Exceptional organizational skills to manage schedules, files, and correspondence efficiently
- Customer service expertise with a friendly demeanor and problem-solving mindset
- Ability to proofread documents carefully ensuring clarity and professionalism
- Knowledge of office management practices including filing systems, calendar management, and supply coordination
- Personal assistant experience or medical receptionist background is preferred
- Time management skills to prioritize tasks effectively in a fast-paced environment
- Must be willing to travel to our Cuyahoga Falls office and Fairlawn office.
