We are recruiting an Office Administrator to join the HQ Office team of our general contracting firm, Allen Wrench Handyman & Renovations Services, INC. (AWHR)
Please be advised that this role with AWHR will be a full time, long term commitment.
The person we hire must be prepared to operate as a key person within our organization for a minimum of 5 years, ideally longer.

Duties of the Office Administrator:
1: Scheduling estimates from inbound leads received via phone call and email.
2: Answer phones and route communication to the correct person as necessary
3: Process phone sales to purchase building materials
4: Perform data analytics and data entry for labor costs and material transactions
5: Receive payments from customers
Candidate MUST have experience with creating invoices and estimates in quickbooks, and taking payments over the phone.
6: Resolve customer & subcontractor conflicts. Problem solve autonomously to achieve "win-win" results as often as possible for the company, vendors and/or our clients.
7: Lead our construction worker, material delivery, and client scheduling matters. Communicate with key individuals and provide project details as needed to them in writing--every business day-- until full completion of the project; ensure we do not encounter any easily avoidable project-related issues.
8: Communicate with property owners daily to keep them informed on the status of their work being performed; update the invoices accordingly if client change order requests occur.
9: Manage accounts payable; fully responsible for daily updating and weekly payroll processing for all vendors.
10: Maintain the organization of the digital filing system.
11: Manage job costing data entry & report creation in quickbooks. Present a weekly, systematic update on KPIs to management regarding the financial performance on all individual active projects, and on the aggregate financial performance of all projects combined.
12: Provide a daily written summary detailing the events of the day at the end of each day.
13: Navigate online vendor portals and communicate with vendor account reps to place material & equipment orders as needed.
14: Utilize docusign to compile documents into contracts and request e-signatures from clients
This position requires a high level of autonomy, adaptability, skill, experience, stamina, commitment, integrity, and trust. As such, an employment bond and full background check is required for this position before hiring.

Candidates must be fluent and highly experienced in Quickbooks, schedule management, and customer service.
The ideal candidate must have an exceptionally high degree of stress tolerance, financial intelligence and financial literacy.
Spanish speaking ability is a massive plus, but not a requirement.
Exceptional organizational skills, high computer literacy, and a willingness to learn and be coachable are a must at Allen Wrench.
