Project Assistant

The Opportunity

Ready to launch a career in the commercial construction industry? We’re looking for a motivated Projects Assistant to join our close-knit team. This entry-level role puts you right in the middle of real commercial and industrial projects from day one. You’ll support our Project Managers and Estimators, gain hands-on experience with construction documents and processes, and build the skills that lead directly to roles in Estimating and Project Management.

With direct mentorship from experienced PMs and owners, you’ll learn the mechanical and industrial insulation trade inside and out while making a tangible contribution to keeping projects organized, on track, and successful.

What You’ll Do

• Support Estimators and Project Managers with bid documents, proposals, purchase orders, submittals, change orders, time and material reports, and project close-outs.
• Research project information, develop contact lists for bidding, download and print blueprints and specifications, create electronic and paper files for our PMs and estimators.
• Learn our scope of work, identify and read the documents (blueprints, specifications, bid documents, addenda, etc.) that relate to it, and ensure our PMs have all of the information they need to set them up for success.
• Organize project files, upload plans and specs to Microsoft Teams for field crews, and keep all documentation current and accessible.
• Handle paperwork, data entry for subcontracts, emails, phone follow-ups, and tracking for site trainings, clearances, and project schedules, ensuring our compliance efforts align with our clients' requirements.
• Assist with general office tasks to ensure smooth project flow from bidding through completion.

This is an office-based role that involves frequent phone and email communication and reviewing technical construction blueprints and specifications (we’ll train you on our systems and processes). This role does not involve any accounting or human resources responsibilities. This position reports directly to three Project Managers and the Vice-President.
