Role And Responsibilities
Support the Facility Management Coordinator with assigned tasks, including:
- Coordinate with in-house technicians and subcontractors to manage job check-ins and check-outs while providing real-time updates to clients.
- Procure materials required for work orders.
- Generate purchase orders for subcontractors and ensure compliance with company policies.
- Oversee subcontractors onsite, collecting notes, photos, quotes, and invoices.
- Upload job-related details, including photos and notes, into multiple systems.
- Enter proposals and invoices into client platforms accurately.
- Track labor and material costs, process receipts, and manage invoices for each job.
- Provide administrative support to other departments as needed.
- Assist with email correspondence and internal communications.
- Maintain an organized and efficient office environment on a daily basis.
- High school diploma or equivalent
- Previous experience in an administrative or office role is a plus.
- A minimum of 1-2 years of experience in construction or facility maintenance.
- Customer service-oriented
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Capable of effectively managing tasks and ensuring smooth workflow operations.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
