All States Plumbing & Heating, the Single-Family Division of All States Mechanical, is hiring an Operations / Office Coordinator to support and help drive daily office-side operations.
This role keeps purchasing, scheduling, builder communication, warranty requests, service requests, project information, and daily office coordination organized and on track.
This is not a basic administrative position. The Operations / Office Coordinator helps run the operational flow of the office and plays a direct role in keeping jobs moving; crews supported, builders informed, and schedules on track.
We are looking for someone sharp, highly organized, hungry to learn, and ready to grow with the company.
Coordinate daily office operations to keep projects on schedule
Manage purchasing activities, including vendor coordination and material ordering
Collect, organize, and maintain project information from multiple builders
Support and help drive project scheduling efforts
Receive, track, and schedule warranty and service requests
Assist with VPOs, bids, and procurement of materials such as tubs, finish pallets, and job-specific items
Maintain and update systems including Buildertrend, builder portals, Microsoft Teams, Outlook, Excel, and internal trackers
Communicate with builders, vendors, field crews, and internal team members
Track missing information, deadlines, schedule changes, and follow-up items
Identify problems, improve processes, and keep office-side operations moving
Pay: $20.00 - $26.00 per hour
