SUMMARY
Assist Human Resources Manager with recruiting efforts, onboarding, and payroll. Assist the CFO, Business Manager, Office Manager with other administrative duties.
Reports to: Human Resources Manager
ESSENTIAL DUTIES AND RESPONSIBILITES
· Maintain job applications
· Assist with Screening applications
· Assist with applicant phone screens
· Maintain applicant files
· Coordinate interviews and set appointments
· Perform employment reference checking
· Sets appointment for job offer
· Candidate call backs and coordinate all pre-employment process
o Schedule physical and drug testing
o Tracks physical results
o Tracks drug test results
· Coordinate orientation schedule and notify department managers and supervisors
· Preparation of job opening distribution of flyers
· Prepare new hire or rehire packages
· Schedule employee for first day at work and process on-boarding paperwork (for hourly new employees) and enter employee information into the payroll systems
· Ensure accurate employee data for new hires is entered in ADP
· Create employee badges for new hires and replacements
· Print copies of terminated employee picture badges daily for night patrol manager
· Complete I -9s, maintain them in binders and complete audits
· Create and maintain personnel files and records in accordance legal requirements and Company policies and procedures
· Maintain Employer Pull Notice and update authorized driver list
· Assist with record retention process
· Generate and submit payroll-related reports as well as provide assistance with surveys, inquiries and audits
· Prepares certificates and other awards as needed
· Answer telephone and responds to inquiries or redirects the call
· Maintains good public relations with applicants, staff and guest
· Participate coordinating employee events
· Safety meeting announcements and preparation
· Maintain all training records for all divisions and update filing as per the active employee list
· Maintain monthly safety and tailgate meetings record tracking and keeping (All departments and shift)
· File new and active employees training records
· Make files for new employee training records
· Laminate work instructions, procedures, forklift ID cards and other pertinent documents required
· File forklift ID card (copy), employee forklift test and forklift sign-off record
· File and maintain monthly safety employee training and tailgate safety meeting records
· File all HR related documents in personnel files
· Back-up Front Office Clerk
Payroll (Assisting Human Resources Manager)
· Compile employee time, production, and payroll data from time sheets and other records
· Verify timesheets for accuracy and assist with data entry of hourly time records (ADP System)
· Update payroll time sheets with new hires, promotions, and terminations
· Sort and compile hourly payroll check for distribution on pay day and update distribution lists
· Back-up payroll processing
General
· Other tasks assigned or authorized by the HR Manager, Chief Financial Officer or President.
There may be other duties that are not listed under each category. The lists in each category are meant to be a representation of the types of tasks preformed.
REQUIREMENTS
· High School Diploma or equivalent
· 2 years of experience office environment preferable within the Human Resources and Payroll field, or equivalent
· Excellent oral and written communication skills to effectively interact with employees and management from all departments and locations
· Fluent in English and Spanish
· Able to learn and understand federal and state employment laws and regulations
· Exhibit a very high level of maintaining professionalism and confidentiality
· Ability to prioritize tasks and work independently with minimum supervision
· Ability to work in a fast-paced environment, multi-task, problem solve and meet shifting deadlines
· Must have reliable transportation
· Ability to lift 25 lbs
· Must be able to perform the following physical requirement of the job some of which may include but is not limited to sitting, standing, stooping, walking, climbing, and lifting
