Job Title: Regional Office Operations Manager
Classification: Salary/Exempt
Reports to: Ownership/ Upper Management
Summary of Job: Oversee and manage front office processes for all, All Star Physical Therapy, clinic locations. Collaborate with All Star leadership team to assess front office needs company wide. Communicate often with ownership regarding front office results. Effectively partner for high priority items and work in conjunction with company goals. Successfully implement front office training programs. Motivate and inspire team to achieve results.
Education and Experience:
- Bachelors degree preferred, high school diploma or equivalent required
- 5 year minimum front office experience in a Physical Therapy or Medical office
- 2 year supervisory experience preferred
Qualifications:
- Understanding of and ability to perform outstanding customer service
- Proficiency in Office365
- Knowledge of medical coding eg. ICD-10, CPT
- Cheerful, positive, can-do attitude

Essential Duties and Responsibilities:
- Manage patient complaints for company
- Maintain strong relationship with referral coordinator(s).
- Maintain strong relationship with directors and office managers through thorough communication
- Weekly front office operations report to owners/management
- Recruit, hire, and ensure training of office managers
- Training- implement training program for front office and ensure effective training
- Implement and oversee cash management protocol
- Develop and mentor office managers and front office assistants when applicable
- Seek feedback from billing and clinic directors for development
- Meet regularly with central authorization and billing director to discuss real time challenges or solutions to solve patient and front office issues. Implement changes as needed
- Work through progressive discipline when appropriate with Human Resources
- Review of front office performance (Create Report Cards/KPIs)
- Staffing coverage for front offices
- Floater coverage contact. Hire and train front office floaters when needed.
- Work in partnership with Physical Therapist Director and co-workers
- Set example for the clinic staff
- Strong work ethic

- Management of front office intern program

Physical Requirements: The Regional Office Operations Manager should be in good physical condition. She/he should have a wide range of physical abilities including, but not limited to, the ability to pull, push, lift and stoop as the situation requires. Also:
- Ability to safely and successfully perform the essential job functions, with or without reasonable accommodation, including meeting qualitative and/or quantitative productivity standards
- Ability to maintain regular, punctual attendance, consistent with federal, state, and local standards
- Must be able to spend 90 % of the workday sitting and working at the computer
