Overview
We are seeking a detail-oriented and organized Office Administrative Assistant to join our dynamic team. This role is essential in ensuring smooth office operations, providing exceptional customer service, and supporting various administrative functions. The ideal candidate will possess strong computer literacy, excellent communication skills, and experience in office management or clerical roles. Bilingual abilities are a plus, enabling effective communication with diverse clients and team members. Responsibilities

  • Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace for document creation, scheduling, and correspondence
  • Handle calendar management and appointment scheduling for staff or executives
  • Support bookkeeping tasks using QuickBooks or similar software as needed
  • Provide customer support via phone, email, or in-person interactions, maintaining excellent phone etiquette
  • Assist with office management tasks such as supply inventory, mail distribution, and general administrative support
  • Maintain organized records and ensure confidentiality of sensitive information
  • Support personal assistant duties or real estate/ power washing service receptionist responsibilities as required
  • Report to the administrative lead or office manager for daily updates, accomplishments, and any issues requiring attention.
  • Handle expense reporting, invoicing, and basic accounting tasks.
  • Assist in onboarding new team members, creating a welcoming and supportive experience
  • Maintain accurate records, including invoices, contracts, and employee documentation.
  • Develop and implement systems to improve administrative efficiency and communication.
  • Monitor compliance with company policies and workplace safety standards.

Skills

  • Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint) and Google Suite; experience with office management software.
  • Organization: Strong organizational and multitasking abilities.
  • Strong computer skills with the ability to learn new software quickly
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Exceptional typing speed and accuracy for data entry and document preparation
  • Communication: Excellent written and verbal communication skills. Bilingual abilities are advantageous
  • Experience with clerical tasks such as filing, proofreading, and data management
  • Knowledge of office management practices and customer service excellence
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Ability to handle multiple responsibilities efficiently while maintaining attention to detail
  • Experience: Previous experience in administrative or office support roles such as receptionist, personal assistant, or power washing/real estate receptionist is preferred
  • Education: High school diploma or equivalent is required; an associate degree or certificate in office administration is preferred.
  • Exceptional organizational skills and the ability to manage multiple priorities effectively.
  • A proactive mindset with a strong focus on inclusivity and creating a positive team culture.
  • Ability to adapt to changing priorities while maintaining attention to detail.

This position provides a vital support role within our organization, ensuring efficient office operations while delivering outstanding service to clients and staff alike.

Job Types: Full-time, Part-time, Temporary, Contract, Temp-to-hire

Pay: $16.00 - $17.00 per hour

Expected hours: No less than 25 per week
