Duties
- Greet visitors and manage the front desk with professionalism and warmth, ensuring a positive first impression
- Operate multi-line phone systems efficiently, directing calls and taking messages accurately
- Maintain organized filing systems, both physical and digital, including data entry and record keeping
- Support calendar management and scheduling for team members using tools like Google Workspace and Microsoft Office
- Provide exceptional customer service by responding promptly to inquiries via phone or email, demonstrating excellent phone etiquette
- Manage office supplies inventory, place orders as needed, and ensure the office remains well-stocked and organized
- Perform clerical duties such as proofreading documents, preparing reports, and handling correspondence with attention to detail
- Support office management activities including organizing meetings, preparing agendas, and coordinating logistics for company events
- Creating sales estimates
- Collecting customer payments
- Procurement and shipping as needed
- Manage and create documents and sheets with Google Workspace
- Sending out documents for e-signatures
Qualifications
- Proven experience in an office environment or administrative role with strong clerical skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) or Google Workspace applications
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Strong computer literacy including data entry, file management, and basic troubleshooting skills
- Experience using multi-line phone systems and demonstrating professional phone etiquette
- Bilingual abilities are highly desirable to assist diverse client needs
- Previous experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous
- Exceptional customer service skills with a friendly demeanor and positive attitude
- Strong time management skills to prioritize tasks efficiently and meet deadlines
