Job Description:
This receptionist is ultimately responsible for ensuring an excellent customer service experience. They will directly assist patients to coordinate care and account details. This includes coordinating all aspects of the patient experience by managing the patient schedule, patient files, active patient payments, and overseeing internal marketing campaigns.
The receptionist position consist of two roles, Check-In and Check-Out .
The check-in role is the “Boss of Today”. Their primary focus is always patient flow, scheduled appointments, and compliance. Check-in is always ready to receive the incoming patients, and is the time-keeper for the office. The check-in is instrumental in setting the patient's expectations for their appointment. The Check-Out role is the “Boss of Tomorrow”. The primary focus is to protect, promote and enforce patient accounts, scheduling, collections, and building patient relationships. The Check-Out role is primarily responsible for incoming calls, financial agreements, basic insurance questions and concluding each patient's visit on a satisfactory and positive note.
Cross-training is encouraged once primary role competency is achieved. Participation in patient care utilizing modalities and assisting in evaluations and radiographs would advance salary and status.

Specific Responsibilities:
In maintaining the primary responsibility as the receptionist you must undertake responsibilities including the following:
- Conduct Morning/Closing Daily Tasks to prepare the office to start seeing patients and close at the end of the day
- Conduct a Morning Huddle each morning ensuring that you stay on track and adhere to the agenda
- Greet all patients by name, have them sign in, and check them into the EMR
- Manage office flow
- Call on Missed Appointments to Reschedule (same day preferred)
- Inform Tech CA's/ DC of patient arrivals for Initial Visits and Reports
- Make reminder calls for all Initial Visits and consults.
- Print Detailed Day Sheet for providers to initial
- Promote all clinic events with hand-outs, flyers, and communications
- Answer incoming phone calls/Retrieve and return phone messages
- Check-out all patients
- Process Transactions
- Manage patient accounts (OTC monthly payments, Auto payments, etc.)
- Conduct Plan of Care Follow Up
- Schedule future appointments, reschedule missed appointments
- Basic assistance with digital media
- Manage Reviews and Testimonials
