Overview
We are a growing, established, patient-centric wellness clinic seeking a warm, highly organized, and tech-savvy professional to be the welcoming face of our practice.
This is not a typical front desk role.
As our Front Desk Receptionist / Patient Experience Marketing Assistant, you will play a key role in both daily clinic operations and supporting our social media and marketing efforts.
We are specifically looking for someone who is comfortable with technology, familiar with current social media trends, and interested in modern tools such as content creation platforms and AI.
Key ResponsibilitiesPatient Experience & Front Desk Operations
- Greet patients with a friendly, professional, and welcoming demeanor
- Manage patient check-in/check-out and maintain smooth patient flow throughout the day
- Ensure the front desk and waiting area remain clean, calm, and organized
- Serve as a point of communication between patients, providers, and clinical staff
Scheduling & Communication
- Schedule, confirm, reschedule, and cancel appointments with accuracy and attention to detail
- Answer incoming phone calls and respond to text and digital messages promptly and professionally
- Make follow-up calls to new patients, missed appointments, and post-visit check-ins
- Proactively manage daily and next-day appointment confirmations to reduce no-shows
Administrative & Documentation Support
- Prepare and manage new patient and existing patient paperwork and folders
- Verify patient demographics and ensure all required forms are completed and properly uploaded
- Scan, upload, and organize documents within the electronic health record system
- Document patient communications and important notes accurately in the system
- Maintain accurate patient records and support daily operational workflows
Insurance & Payments
- Verify insurance benefits for new patients and complete verification documentation
- Collect co-pays, payments, and process transactions accurately
- Maintain patient accounts, set alerts for payment issues, and communicate concerns appropriately
- Assist with daily reconciliation and tracking of collections
Clinic Coordination & Daily Operations
- Coordinate closely with clinical staff to ensure seamless daily operations
- Monitor appointment statuses to prevent scheduling or workflow issues
- Assist with end-of-day processes, reporting, and preparation for the following day
- Support clinic systems and workflows
Marketing, Social Media & Tech Responsibilities
- Assist with creating and capturing social media content (photos, videos, short-form content, behind-the-scenes)
- Help post and schedule content across platforms (Instagram, Facebook, etc.)
- Stay up to date with current social media trends and contribute content ideas
- Support marketing initiatives, promotions, and campaigns
- Assist with capturing patient testimonials and in-office content when appropriate
- Utilize or learn modern tools (AI platforms, content apps, scheduling tools) to improve efficiency and creativity
This is an important part of the role and will grow over time.
Qualifications
- Strong communication, organization, and multitasking skills
- Professional appearance and calm, patient-focused demeanor
- Tech-savvy and comfortable learning new systems, platforms, and tools quickly
- Familiarity with social media platforms and current trends
- Experience or interest in content creation, marketing, or digital tools (AI experience is a plus)
- Comfortable with computers and scheduling software
- (ChiroTouch or healthcare EHR experience is a plus, but not required)
- High attention to detail and ability to follow structured processes
- Reliable, punctual, and team-oriented
- Prior experience in a medical, wellness, or customer-facing role preferred
