Alfrey & Pruitt Counseling is a fast-growing mental health practice dedicated to providing compassionate, trauma-informed care. We’re looking for a reliable, warm, and organized Front Desk Receptionist to join our team as the first point of contact for our clients and an essential support to our clinicians.
About the Role
This position is ideal for someone who enjoys connecting with people, thrives in a fast-paced environment, and can balance calm professionalism with proactive follow-through. You’ll play a key role in making our office welcoming, efficient, and emotionally safe for all.
Key Responsibilities
Client Communication & Front Desk Management
- Greet clients with warmth and professionalism
- Answer phones and emails with empathy, clarity, and efficiency
- Assist clients with questions, paperwork, and appointment logistics
- Maintain a calm and supportive presence, even during busy moments
Appointment & Office Coordination
- Schedule and manage appointments using our client portal
- Communicate effectively with therapists to support daily workflow
- Ensure accurate client records and smooth intake procedures
- Track and enter probation-related vouchers into our system (training provided)
Administrative & Billing Support
- Assist with insurance verification and payment collection
- Monitor and restock office supplies
- Perform light office upkeep (trash, bathroom, vacuuming, etc.)
- Complete general clerical tasks: scanning, filing, and data entry
Team Collaboration
- Work closely with our Administrative Coordinator to ensure smooth communication between the front desk, billing, and clinical teams
- Coordinate on scheduling, probation-related needs, and referral follow-up
- Support the implementation of office systems, policies, and procedures
- Bring a self-starting, detail-oriented approach to new or evolving tasks
What We’re Looking For
- Reception or front office experience (1 year preferred)
- Fast learner with strong follow-through
- Friendly and calm, yet assertive when needed
- Excellent time management and multitasking skills
- Strong communication skills—both verbal and written
- Comfortable with Google Workspace (Gmail, Docs, Sheets)
- Familiarity with mental health or healthcare settings is a plus
- Bilingual (Spanish/English) is a major plus
Work Schedule
- Monday to Thursday, 8:00 AM – 5:00 PM
- One-hour lunch break
- 32 hours/week — consistent, full-day shifts
- No evenings or weekends
