Overview:
The Director of Operations is a strategic, hands‑on leader responsible for operational integrity across ALEXIS LAUREN’s three corporate locations, superior client experience, and scalable systems across our franchise extensions. This role requires a problem‑solver with exceptional attention to detail, strong people leadership, and a luxury hospitality mindset. This individual will oversee daily execution, while also building SOPs and training programs that can be replicated across locations.
Key Responsibilities:
- Responsible for driving revenue growth and operational excellence across all locations.
- Overseeing hiring, recruitment and team development for existing studios and new including the Winter Park location
- Manage day-today operations while scaling infrastructure to support multi-location growth
- Increase bookings, retention and lifetime value through structured systems and accountability
- Drive client acquisition through partnerships, outreach and local activations
Operations & Facility Management
- Ensure treatment rooms, common areas, and back‑of‑house spaces are pristine, organized, and compliant with clinical and brand standards.
- Oversee daily and weekly cleaning and deeper maintenance schedules, coordinate property repairs and vendor services.
- Manage inventory processes for retail and consumables: restocking, monthly audits, reconciliation, and reorder management.
- Submit, track, and close purchase orders and invoices accurately and on time.
- Submit orders for retail and operational supplies; ensure timely PO closure.
- Restock inventory and consumables.
- Monitor schedule accuracy, booking slots/efficiency, and client invoice correctness.
- Manage main account inbox and CRM oversight.
- Update quarterly staff schedules and confirm vacation/time‑off requests.
Client Experience
- Own the day‑to‑day execution of client services to ensure seamless, luxury experiences from booking through post‑service follow‑up.
- Monitor schedule accuracy, client invoices, and platform integrations (EMR and CRM).
- Manage the general inbox and respond to client email inquiries with prompt, on‑brand communications.
- Proactively recommend and implement service enhancements that elevate client experience.
- Must be able to recruit, hire, and train new employees.
- Lead team in bringing in new clients, increasing revenue, and also working with existing clients to nurture relationships and optimize sales.
Training and SOPs
- Train and coach front-desk team members, estheticians and injectors on SOPs, luxury service standards, and operational best practices.
- Develop and update SOPs and training materials to support corporate and franchise operations.
- Lead regular staff briefings, performance reviews, and on‑the‑floor mentorship to ensure consistent execution of ALEXIS LAUREN standards. Strong focus on experience and increasing sales and customer retention.
Reporting and Metrics
- Pull daily and weekly operational and performance reports, present findings and alignment metrics to leadership.
- Check and validate time clock entries for payroll weekly (including tracking system for leads).
- Prepare and distribute quarterly operations expense tracking reports.
- Maintain accurate documentation for compliance, audits, and franchise reporting needs.
Qualifications
- 5 years operations or clinic management experience in luxury retail, medical aesthetics, hospitality, or related service industries; prior medspa experience preferred.
- Demonstrated ability to design and implement SOPs and training programs that scale across national locations. Previous franchise experience preferred.
- Strong analytical skills with experience in reporting, inventory reconciliation, and P&L awareness.
- Exceptional organizational skills, meticulous attention to detail, and a proactive problem‑solving mindset.
- Excellent interpersonal and coaching abilities; comfortable leading teams and vendors.
- Familiarity with POS/booking systems (EMR, Zenoti a plus), CRM tools, Podium (or similar), and standard office software.
- Flexible availability to support business hours (Tue–Sat), events and any afterhours emergencies
