Essential Duties & Responsibilities:
- Coordinate the daily operations of third-party service providers, including janitorial, maintenance, security, and parking garage teams, helping ensure building services meet operational and tenant expectations.
- Serve as a primary point of contact for tenants, coordinating maintenance requests, communicating project updates, and ensuring timely resolution of service issues.
- Monitor and follow up on tenant work orders to verify quality, responsiveness, and overall customer satisfaction.
- Support facility operations by maintaining accurate tenant and vendor records, including certificates of insurance through third-party compliance platforms.
- Assist with the administration and continuous improvement of computerized maintenance management systems (CMMS), including Angus, to support preventative maintenance and work order tracking.
- Provide operational support for capital improvement projects through Unifier, including project setup, budget updates, invoice processing, and project documentation.
- Coordinate tenant meetings by preparing agendas, scheduling participants, and documenting follow-up actions.
- Draft and distribute tenant communications regarding building operations, maintenance activities, events, and property updates.
- Assist in planning and executing tenant engagement programs and property events.
- Support regional facilities leadership with operational reporting, scheduling, expense management, and other business support functions.
- Participate in special projects and cross-functional initiatives that enhance building operations, tenant experience, and operational efficiency.
- Bachelor's degree preferred.
- Minimum 1 year of experience in facilities management, property management, commercial real estate, building operations, or a related field preferred.
- Working knowledge of commercial building systems, preventative maintenance practices, and facility operations.
- Familiarity with property management or CMMS platforms (such as Angus), building automation systems (BAS/BMS), or project management software is preferred.
- Experience supporting vendor coordination and contractor management is highly desirable.
- Strong customer service mindset with the ability to build positive relationships with tenants, vendors, and internal stakeholders.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, particularly Excel, Outlook, Word, and PowerPoint.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Demonstrated problem-solving skills, attention to detail, and ability to work independently while collaborating across teams.
