We are a well-established, client-focused boutique financial planning and wealth management firm located in the heart of charming Doylestown, Pennsylvania. Our practice prides itself on delivering highly personalized financial guidance in a warm, professional, and low-stress environment. Due to continued growth, we are seeking a detail-oriented and upbeat Administrative Assistant to join our team.
What You’ll Do
- Greet clients in person and by phone with genuine warmth and professionalism
- Schedule and confirm appointments, manage multiple advisor calendars
- Prepare and assemble client meeting materials, reports, and new-account paperwork
- Handle incoming/outgoing mail, scanning, filing, and maintaining organized digital and paper records
- Process account transfers, withdrawals, deposits, and other transaction requests
- Perform general office management: order supplies, coordinate vendors, keep the office welcoming and tidy
- Assist with CRM data entry (we use Wealthbox & Amplify) and basic Excel/Word/PowerPoint tasks
- Support compliance documentation and light bookkeeping reconciliation
What We’re Looking For
- 2 years of administrative/clerical experience (financial services or professional office setting a plus, but not required)
- Strong computer skills: comfortable with Microsoft Office suite (especially Outlook, Excel, and Word), quick to learn new software, accurate typing/data-entry skills
- Excellent phone etiquette and in-person communication – you’ll be the friendly “face” of our practice
- Highly organized, proactive, and able to juggle multiple tasks without dropping the ball
- Discretion and professionalism – you’ll be handling sensitive client information daily
- A positive, can-do attitude and enjoyment of helping both clients and colleagues
- Securities licensing (Series 7, 65/66, etc.) is NOT required. We will fully sponsor and support the right candidate who wants to obtain licenses and grow into a paraplanner or client service associate role over time.
