What are the responsibilities and job description for the Executive Assistant position at ALC & CO LLC?
Overall Goals:
- Create peak productivity for Executives with organization & calendar management
- Anticipate the Creative Director/Founder and President’s needs and be proactive about achieving them
- Make sure communication is streamlined between the Creative Director/Founder, President and entire A.L.C. team
- Maintain order and organization with 5th floor meeting rooms and common areas
- Managing calendars (including but not limited to): design, development and production meetings, fittings, business meetings, trunk shows, interviews, personal appearances, breakfasts, lunches, dinners, personal life administration. Keeping Creative Director / Founder on time for meetings.
- Manage Creative Director/Founder files to include, but not limited to, expenses, creative inspiration, travel.
Creative Director/Founder responsibilities
-Handle highly confidential correspondence promptly and appropriately
-Provide updated daily email and schedule recaps
-Intuitively handling initial and follow up communication from a Business Development and PR perspective
-Manage Creative Director/Founder design/development meetings including attending key meetings alongside the Creative Director/Founder
-Manage the Creative Director/Founder weekly administrative workload to ensure A.L.C. office is streamlined from top down (everything from arranging all daily subsistence/drinks for Andrea to filling up car with gas and managing office storage facilities)
-Assist with A.L.C. photo shoot production – ensuring Creative Director/Founder is prepped and relaxed for each shoot
-Work closely with Marketing to ensure all social media and digital marketing opportunities are met on monthly basis, present Creative Director/Founder with weekly social / email calendar
-Tracking samples and budget from costume houses, and purchasing inspiration pieces and ensuring they’re returned
-Manage NYC apartment housekeeper after any NY trips
-Manage Creative Director/Founder expense reports
-Research for business presentations as directed
-Assist in building PowerPoint / Keynote presentations (with focus on quarterly board meetings)
-Assist Creative Director/Founder in managing all creative materials and research
A.L.C. HQ Office Management
-Manage A.L.C. Interns for Creative Director/Founder, President, and administration.
-Manage the day-to-day operations of the 5th floor office
-Organize and stock 5th floor supply closet, fitting room, kitchen.
-Manage 5th floor office maintenance, cleaning and housekeeping on a daily/weekly/monthly basis imn coordination with HR Manager
-Liaise with Marketing and Design to help traffic samples and seasonal archives
-Arrange office travel and maintain travel budget for Creative Director/Founder and President
-Ensure Creative Director/Founder and President’s workspaces are organized on a daily basis
