The Administrative Assistant at the Alaska Zoo plays a key role in supporting the Executive Director and ensuring smooth administrative operations. This part-time position (25 hours per week) offers the opportunity to grow into a fulltime role. Ideal for a detail-oriented and organized individual, this role contributes to the zoo’s mission by facilitating communication, managing office tasks, and assisting with donor and event coordination.
- Perform general administrative duties including answering phones and managing emails
- Schedule meetings and appointments for the Executive Director and other key staff members
- Maintain the general zoo-wide calendar
- Maintain the Alaska Zoo Team Sharepoint site, including employee communications
- Provide Human Resources support to the Director of Finance and Business
- Provide administrative support for zoo programs, including scheduling, documentation and communication
- Assist with the coordination and execution of special projects, as assigned by the Executive Director
- Maintain organized filing systems (digital and physical)
- Assist with donor correspondence, data entry, and recordkeeping
- Prepare reports, memos, letters, and other documents as needed
- Support event planning and logistics for zoo programs and fundraising activities
- Order and maintain office supplies and equipment
- Other duties as assigned and agreed upon

- Excellent verbal and written communication skills, including ability to effectively communicate with internal and external stakeholders
- Strong computer proficiency (MS Office – Word, Excel, Outlook, Sharepoint)
- Ability to work independently and collaboratively in a fast-paced environment
- Strong organizational skills and attention to detail
- High school diploma or GED required
- Associate degree or relevant administrative experience preferred
Position Requirements:
- Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards
- Ability to maintain regular, punctual attendance
- Must be able to lift and carry up to 25 lbs
