Employment Type: Full-Time (40 hours per week), In-Office
Employee Support and Liaison
· Serve as a point of contact for employee inquiries and general administrative procedures.
· Act as a liaison between staff and management, communicating feedback, concerns, and suggestions.
Records Management and Data Entry
· Maintain accurate, up-to-date records, databases, and filing systems.
· Perform data entry tasks with strong accuracy and attention to detail.
Scheduling and Office Coordination
· Coordinate with departments to schedule classes, meetings, events, and other activities in a timely manner.
· Support implementation of procedures and practices that improve office efficiency and customer service.
· Ensure compliance with organizational guidelines and regulatory requirements.
· Identify opportunities to improve processes, workflows, and overall office functionality.
Office Supplies, Upkeep, and Inventory Management
· Oversee organization and stocking of all office and training supplies
· Maintain inventory of all materials, including paper products, general office items, and training room supplies (e.g., writing utensils, binders, participant materials).
· Ensure all supplies are replenished as needed to support daily operations and training activities.
Facilities and Vendor Management
· Coordinate facility and property maintenance to ensure a clean, safe, and organized work environment.
· Manage vendor relationships, including procurement of services, contract coordination, and issue resolution.
Front Desk Management and Daily Operations
· Serve as the primary front desk representative for the organization, maintaining a consistent on-site presence
· Ensure consistent, professional reception of guests and members
· Perform clerical duties including answering phones, responding to emails, filing and general administrative support.
Participation in Team Events
· Engage in team-building activities, meetings, and events to foster a collaborative work environment.
· If necessary, assist in logistics for team events, including scheduling, venue arrangements, and catering.
Conflict and Problem Resolution
· Address office-related issues using effective communication and problem-solving techniques.
· Identify and resolve potential disruptions to ensure smooth operations and workflow continuity.
Bookkeeping, Accounts Payable, and Accounts Receivable (AP/AR)
· Manage bookkeeping tasks, including recording financial transactions, reconciling accounts, and generating routine financial reports.
· Handle accounts payable and receivable processes, including invoicing, bill payments, and collections.
· Assist with budget tracking and expense monitoring.
· Identify cost-saving opportunities and support resource optimization.
Maintain Confidentiality and Compliance
· Maintain confidentiality of sensitive information, including employee records, financial data, and proprietary documents.
· Ensure compliance with applicable laws, regulations, and organizational standards related to office operations.
Qualifications (Recommended)
· 3–5 years of office management or administrative experience
· Strong organizational and multitasking skills
· Experience with bookkeeping or financial coordination preferred
· Proficiency in Microsoft Office and general office systems
· Strong interpersonal and communication skills
· Ability to work independently and as part of a team
Work Environment
· This is a fully in-office position requiring consistent on-site presence during scheduled hours. The Office Manager is a key point of contact for daily operations and must be available to supervise front desk activity and support staff throughout the workday.
Pay: From $60,000.00 per year
