Alamo Health Management is the business office of a multi-facility adult residential behavioral health organization committed to providing transitional housing and resident centered care services for clients suffering from mental health, addiction, and/or dual diagnosis. The ideal candidate wants to help break the cycle of clients moving from crisis centers to housing instability and back to crisis centers.

We are seeking a detail-oriented and reliable Billing Specialist who will be responsible for coordinating and overseeing billing and collection functions for the organization. This role serves as a liaison between internal departments, Counties, Medi-Cal, SSI Administration, clients, pharmacies, and other funding sources to ensure accurate, timely, and compliant billing processes.

The Billing Specialist helps maintain financial accuracy, supports revenue cycle management, resolves billing concerns, and promotes continuity in reimbursement activities while supporting the organization's commitment to operational excellence and financial stewardship.

Location: In-person, Monday - Friday, 9am - 5pm, San Ramon, CA.

Job description:

  • Coordinate and manage billing activities for County contracts, Medi-Cal Assisted Living Waiver (ALW) services, SSI, pharmacy reimbursements, private pay accounts, and other funding sources.
  • Review billing documentation, authorizations, contracts, and resident information to ensure accurate and timely invoicing and claim submission.
  • Collaborate with internal departments to verify resident admissions, discharges, transfers, eligibility, and billing-related information.
  • Monitor and resolve billing discrepancies, claim denials, payment issues, and account concerns with funding sources and stakeholders.
  • Process, reconcile, and post payments while maintaining accurate accounts receivable records and collections activities.
  • Maintain communication with Counties, Medi-Cal representatives, clients, pharmacies, managed care plans, and other external partners regarding billing and reimbursement matters.
  • Prepare billing, collections, accounts receivable, and payment activity reports for management review.
  • Maintain accurate financial records and ensure data integrity within NetSuite and other applicable systems.
  • Provide documentation as needed during audits
  • Cross training for support with AP/Payroll
  • Ensure compliance with Medi-Cal requirements, ALW program guidelines, HIPAA regulations, and organizational policies.
  • Develop and maintain positive working relationships with internal departments, residents, families, funding agencies, and community partners.
  • Support accounting operations, weekly reports and month-end processes, quality improvement initiatives, and other departmental functions as assigned.

Education and Experience:

  • Bachelor's degree in Accounting, Finance, Business Administration, Healthcare Administration, or a related field preferred.
  • Equivalent combination of education and experience may be considered
  • Minimum of two (2) years of experience in healthcare billing, accounts receivable, or a related accounting role required.
  • Minimum of two (2) years of experience with Medi-Cal billing required.
  • Minimum of two (2) years of experience with Assisted Living Waiver (ALW) billing required.
  • Experience working with County-funded programs, SSI billing, and healthcare reimbursement systems preferred.
  • Experience using NetSuite or similar accounting software preferred.

Preferred Qualifications:

  • Knowledge of Medi-Cal regulations, ALW billing requirements, and healthcare reimbursement processes.
  • Experience with claims management, payment posting, collections, and accounts receivable management.
  • Experience working in a healthcare, residential care, assisted living, or behavioral health environment preferred.
  • Bilingual (English/Spanish) preferred.

Certifications, Licenses, and other Special Requirements:

  • Must have a current Tuberculosis (TB) skin test or chest x-ray.
  • Must pass criminal background check.
  • Must have compassion for and desire to work with the severely mentally ill population.

  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Ability to work independently and collaboratively within a team environment.
  • Knowledge of HIPAA requirements and healthcare billing compliance standards.
  • Demonstrated ability to establish and maintain positive working relationships with residents, families, funding agencies, and internal departments.

Job Type: Full-time

Pay: $93,600.00 - $104,000.00 per year
