About these Roles
We’re looking for Event Coordinators at multiple levels (I–III) to join our team. These roles are all about
bringing events to life—from corporate meetings to major festivals, community gatherings and
weddings. You’ll help the venue and clients coordinate, manage logistics, and ensure every event
exceeds their expectations.
• Level I: Entry-level support—ideal for those starting their career in events. Focus on assisting
with smaller events, including logistics, coordination, and on-site support while learning the
fundamentals. ($24-$27)
• Level II: Mid-level event lead—manage larger events with reporting responsibilities. ($27-$30)
• Level III: Senior-level coordinator—handle larger, more complex events, mentor junior staff, and
take on the largest promoters and strategic revenue growth. ($30-$34)
Key Responsibilities:
• Serve as main contact for clients from booking through event wrap-up
• Develop event layouts, timelines, and work orders using industry-standard tools
• Coordinate with operations, catering, and vendors to ensure seamless execution
• Provide on-site oversight, lead setup, resolve challenges, and ensure client satisfaction
• Renew and book repeat events, while identifying upsell opportunities
• Maintain accurate event records in Software/CRM as well as manage monthly reports
• Track budgets, payments, and contracts; provide accurate reporting and wrap-ups
Qualifications:
• Level I: 0–1 years of event coordination or related experience (internships, hospitality roles, or
volunteer experience welcome)
• Level II: 2 years of direct event coordination/management experience
• Level III: 4 years with large-scale events, strong client management skills, and proven ability to
mentor peers
• Outgoing with strong client service skills
• Excellent communication, presentation and relationship-building skills
• Calm under pressure, solution-oriented, detail-focused and ability to manage multiple projects
in a face-paced environment
• Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace; event/CRM
software experience a plus
• Excellent project management skills
• Build and understand reports and train team members
• Collaborative and ability to see big picture
• Ability to work outdoors, on your feet, and occasionally lift up to 30 lbs.
• Flexibility to work evenings, weekends, holidays, and the annual Fair in June and July
