Job Summary
We are seeking a dedicated and organized Experience Construction Office Administrator with QuickBooks Desktop experience (required) to oversee the daily operations of our office. The ideal candidate will be responsible for managing administrative tasks.
Responsibilities
- Coordinate office activities to ensure efficient workflow.
- Provide clerical and bookkeeping support including transcribing estimates, creating invoices, job progression tracking, responding to emails, filing - both hard copy and scanning to create electronic files, data entry, bank and credit card account reconciliations, applying discounts and credits, entering payroll journal entries, and document management.
- Assist in budgeting processes by tracking expenses and preparing reports.
- Handle vendor management, including negotiating contracts and maintaining relationships.
- Operate phone systems effectively to manage incoming calls and facilitate communication.
- Communicate effectively with staff, clients, and vendors to foster positive relationships.
Skills
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Knowledge and experience with QuickBooks Desktop Pro software; required
- Assisting accountant with documents needed
- Excellent communication skills, both verbal and written
- Proficiency in Microsoft 365 and phone systems.
- Knowledge of clerical procedures and administrative support functions.
- Keeping office in a organized , functioning manner
- Familiarity with budgeting principles and financial management practices; GAAP understanding required.
- Experience in a General Contractor's office is a plus.
