HVAC Dispatcher

AirCo Air Conditioning, Heating & Plumbing – Fort Worth, TX

AirCo is looking for a highly organized, motivated, and customer-focused HVAC Dispatcher to join our growing team. The Dispatcher is responsible for coordinating daily service calls, efficiently scheduling technicians, communicating with customers, and keeping the service department running smoothly.

We're looking for someone who can think quickly, stay calm under pressure, and keep multiple moving pieces organized while providing excellent customer service.

Responsibilities

• Schedule and dispatch HVAC service technicians to residential and commercial calls
• Prioritize emergency, warranty, maintenance, and routine service calls
• Optimize technician routes and schedules to maximize efficiency
• Communicate with technicians throughout the day regarding job status, changes, and customer needs
• Communicate professionally with customers regarding appointment times and technician arrival windows
• Monitor technician availability and adjust schedules throughout the day
• Follow up on delayed, completed, and rescheduled calls
• Coordinate with Customer Service, Sales, Installation, Warehouse, and Management teams
• Maintain accurate service call information and documentation
• Help ensure technicians have the proper information and equipment needed for each call
• Handle scheduling changes and unexpected issues quickly and professionally
• Maintain a positive, team-oriented environment
• Perform other duties as needed to support the service department

Qualifications

• Previous HVAC, plumbing, home-services, or dispatching experience preferred
• Previous experience with a dispatching or scheduling system is a plus
• Strong organizational and time-management skills
• Excellent verbal and written communication skills
• Ability to multitask in a fast-paced environment
• Strong problem-solving and decision-making abilities
• Professional and friendly phone presence
• Ability to work well under pressure
• Reliable, dependable, and punctual
• Comfortable working with technicians, customers, and management
• Proficient with computers and common office software
