Duties
- Coordinate and manage daily office operations, including front desk responsibilities and multi-line phone systems to ensure seamless communication.
- Assist with schedule management by organizing meetings, appointments, and calendar updates for team members.
- Support event planning activities for company meetings, training sessions, and special events to foster team engagement.
- Oversee vendor management by liaising with suppliers, processing invoices via QuickBooks, and maintaining accurate records.
- Handle basic bookkeeping and bookkeeping tasks such as filing receipts, managing petty cash, and updating financial records.
- Support human resources functions including onboarding new employees, maintaining personnel files, and assisting with payroll processing.
- Manage office supplies inventory, coordinate with vendors for procurement, and ensure the workspace remains organized and welcoming.
- Contribute to office management by supervising clerical staff when needed, training new team members on administrative procedures, and supporting overall team management efforts.
Experience
- Proven experience in office administration or clerical roles within a professional environment.
- Demonstrated supervisory experience overseeing administrative or support staff.
- Familiarity with QuickBooks or similar accounting software for invoicing and payroll processing.
- Strong background in event planning and coordinating corporate meetings or training sessions.
- Experience with vendor management, budgeting, and basic bookkeeping practices.
- Knowledge of human resources processes including onboarding, employee records management, and payroll administration.
- Excellent communication skills with a focus on phone etiquette and professional correspondence.
- Well-developed organizational skills with the ability to multitask effectively in a busy office setting.
