Role Overview
The Fleet Assistant supports the day-to-day operations of the company’s fleet by ensuring vehicles are properly maintained, compliant, and efficiently managed. This role is responsible for coordinating maintenance, tracking vehicle records, assisting with invoicing, and supporting the fleet team to keep operations running smoothly.
Key Responsibilities
- Assist with the daily operations of the fleet, including vehicle assignments and tracking
- Ensure vehicles meet company branding standards, including decals, cleanliness, and professional appearance
- Coordinate and schedule routine maintenance, repairs, and servicing
- Maintain accurate vehicle records, including registration, insurance, and service history
- Monitor and track fuel usage, mileage, and overall fleet performance
- Support inventory management of fleet tools, equipment, and supplies
- Ensure compliance with company policies and local/state regulations
- Communicate with drivers, vendors, and internal teams to resolve issues quickly
- Assist with vehicle check-in/check-out procedures
- Report damages, accidents, or maintenance issues promptly
- Keep fleet yard or vehicle storage areas organized and safe
- Provide general administrative support to the fleet department
- Transport vehicles between job sites, vendors, or offices
- Assist with basic vehicle upkeep (washing, fueling, stocking)
Qualifications
- 3 years experience in fleet operations
- Proficiency in fleet tracking software and Microsoft Excel
- Excellent organizational and communication skills
- Valid driver’s license and clean driving record
