Job Title: AP Specialist
Job Status: Salary, exempt
Job Shift: M-F, 8am-5pm
Reports to: CFO
Job Summary
The Accounts Payable Specialist is responsible for recording and maintaining Air Control Products' financial accounts related to external transactions. These duties include processing invoices, verifying their accuracy, and making timely payments. Key duties include maintaining financial records, reconciling accounts, managing vendor relationships, and ensuring compliance with company policies. The ideal candidate will be detail-oriented, innovative, and continually seeking ways to enhance processes and procedures at Air Control Products, Inc.
Essential Functions
- Process, verify, and reconcile vendor invoices.
- Enter expenses into appropriate accounts and cost centers.
- Manage corporate credit card program, including expense reporting and reconciliations.
- Process weekly check runs, ACH payments, and positive pay uploads.
- Monitor vendor statements, resolve discrepancies, and ensure credits are properly applied.
- Handle new vendor setup, W-9 collection/updates, and vendor record maintenance.
- Maintain accurate ledgers by posting transactions and reconciling accounts.
- Manage petty cash and employee expense report processing.
- Coordinate with vendors and internal staff to resolve billing issues.
- Scan and organize invoices into company systems (O drive/payables file).
- Support month-end closing and other finance team initiatives.
- Protect sensitive company and vendor information by maintaining confidentiality.
- Coordinate special vendor requirements (e.g., Firestone monthly invoices, Verizon billing).
- Communicate payment details and remittances to vendors via email.
- Work with external vendors for secure payments and shipping-related fees.
- Assist with tax-related tasks and other ad hoc projects as needed.
- All other duties as assigned
Competencies or Experience Requirements
- 3-5 years’ relevant experience working in accounting
- Strong verbal and written communication skills
- Proficient skills in accounting software and Microsoft Excel
- Experience with accounts payable, accounts receivable, and collections
- High degree of accuracy and attention to detail
Physical Requirements
- Ability to operate a computer and other productive office equipment
- Ability to lift, squat, stand, kneel and bend without assistance
- Must be able to communicate professionally and effectively
Education Requirements
- Bachelor’s Degree in Accounting, Finance, or related field preferred.
Travel
- No travel is expected for this position.
