Payroll Specialist

Ahola, Mack & Associates, Ltd. is a CPA firm located in Stillwater, MN. We are excited to offer an opportunity for an experienced payroll specialist to join our team. We are seeking a detail-oriented and organized individual who can manage payroll for multiple clients (30-40) with accuracy, professionalism, and excellent client service.

This position will include responsibilities such as:

Payroll Processing:

• Receive payroll information from clients and process payroll accurately and timely
• Send payroll pre-approvals to clients and finalize approved payrolls
• Follow established client procedures and update procedures as client needs change
• Set up new employees and ensure all onboarding paperwork is complete and compliant
• Communicate with clients regarding payroll accuracy, changes, and payroll-related questions
• Process and manage third-party payments, including retirement and benefit payments
• Review health and dental deductions regularly and make adjustments as needed
• Track PTO and ESST for applicable clients according to individual client policies
• Maintain confidentiality and accuracy in all payroll records and communications

Payroll Reporting:

• Follow Ahola, Mack procedures to ensure quarterly reports are reviewed, accurate, and payments made prior to filing.
• Troubleshoot payroll discrepancies and make necessary corrections
• Experience reporting in MN & WI is required.
• Experience with multi-state payroll reporting, local taxes, and Paid Family Medical Leave (PFML) requirements is preferred

Additional Responsibilities:

• Participate in training and continuing professional development
• Communicate effectively with clients, coworkers, and firm partners
• Manage calendar, deadlines, and email correspondence efficiently
• Assist with additional projects and administrative tasks as assigned

Desired Skills & Experience: There will be in person testing using Microsoft Office’s Excel.

• Payroll-specific degree, CPP Certification, or a minimum of 3 years of payroll experience preferred
• Two- or four-year degree in accounting or related field preferred
• Strong interpersonal, verbal, and written communication skills
• Needs to be proficiency in Microsoft Office, particularly Excel
• Excellent attention to detail and organizational skills
• Strong time management and ability to prioritize tasks independently
• Customer service experience preferred

100% In person for first 6 months. Opportunity to be partially remote after 6 months is up to the discretion of employer.

Pay: $25.00 - $30.00 per hour
