Job Location: Los Angeles, CA | Hybrid (1 3 days per month onsite)
Description:
AgreeYa is a global Systems Integrator and is seeking an experienced Admin Assistant to join our growing team. In this role, you will support Talent Acquisition operations through end-to-end interview coordination, stakeholder communication, and administrative excellence to ensure a seamless hiring process.
Job Responsibilities
- Manage full-cycle coordination for virtual and in-person interviews, including scheduling logistics, calendars, and candidate documentation.
- Oversee interview pipelines and maintain accurate, timely information in candidate tracking tools.
- Serve as the primary point of contact for candidates, providing updates, answering questions, and ensuring a consistent, positive experience.
- Build strong partnerships with recruiters and hiring managers through clear and proactive communication.
- Prioritize tasks effectively in a fast-paced environment while supporting multiple team members.
- Act as a subject matter expert on coordination processes, communicating expectations and best practices to administrative and cross-functional teams.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Support Talent Acquisition Operations with administrative tasks, system assistance, and policy-related inquiries.
Required Skills & Experience
- 3 years of administrative and/or coordination experience
- Strong organizational and prioritization skills
- Excellent stakeholder management and communication abilities
- Proficiency with Google Workspace (Drive, Docs, Calendar, Sheets) or Microsoft equivalents
Preferred Skills & Experience
- Experience within a Talent Acquisition or HR Operations environment
- Familiarity with applicant tracking systems or recruiting workflows
