Responsibilities
- Greet and welcome visitors in a friendly and professional manner.
- Manage multi-line phone systems, directing calls to appropriate personnel while maintaining excellent phone etiquette.
- Handle incoming and outgoing correspondence, including emails and mail.
- Perform data entry, filing, and clerical duties to support office operations.
- Maintain office organization through effective calendar management and scheduling appointments.
- Assist with bookkeeping tasks as needed, including basic accounting functions using QuickBooks.
- Provide customer support by addressing inquiries and resolving issues promptly.
- Utilize Microsoft Office and Google Workspace for document creation, proofreading, and other administrative tasks.
- Support office management by maintaining supplies inventory and ensuring a clean work environment.
- Collaborate with team members to enhance workflow efficiency and improve office processes.
Requirements
- Proven experience as a receptionist or in a similar administrative role is preferred.
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Familiarity with multi-line phone systems and excellent phone etiquette is essential.
- Bilingual candidates are highly desirable to assist diverse clientele effectively.
- Exceptional organizational skills with the ability to manage time efficiently.
- Strong typing skills with attention to detail for accurate data entry and proofreading tasks.
- Previous experience in dental or medical reception is a plus but not mandatory.
