Mid-sized education law firm with statewide education law practice representing school and community college districts seeks a Legal Secretary. Essential duties and responsibilities include:
- Coordinate offsite workshops, including legal research, preparation of materials and event scheduling
- Provide substantial, executive-level administrative support to maintain accurate calendars for assigned attorneys, as well as client and administrative files
- Create presentations
- Prepare documents including correspondence, memoranda and legal documents; compose and draft routine cover letters and shell documents
- Prepare and process court and administrative agency filings, as well as maintain and review corresponding Compulaw calendaring
- Proofread documents for content and clarity and create redlines
- Prepare expense reports and make travel arrangements
- Prepare and process new client and matter forms. Coordinate with accounting to prepare fee agreements, engagement letters, and vendor invoices
- Utilize the Firm’s document management system to create and maintain client files
- Review and route incoming mail. Prepare and process outgoing mail
- Support office administrator with various in-office responsibilities
Qualifications include:

- Able to work under pressure while managing multiple deadlines/priorities
- Accuracy, speed and professionalism
- Ability to work effectively and collaboratively within a team environment
- Ability to work independently
- Ability to perform legal research, utilizing software (including Westlaw) and gathering materials for presentation by attorneys
- Must be able to coordinate statewide travel logistics, reservations and scheduling for assigned attorneys
- Excellent verbal and written communication skills, demonstrated understanding of correct grammar, spelling and punctuation
- Strong computer proficiency in Microsoft Office Suite (including Outlook, Word, Excel, PowerPoint) and various legal software applications (including CompuLaw preferred); experience manipulating PDFs in Adobe; experience working with a document management system; and E-filing experience
- High school diploma or GED and 3 years of legal secretarial experience required
- At least three years of administrative agency (e.g. PERB and OAH) or litigation experience required
- Law firm experience required
- Ability to work overtime as needed
- Experience in education law a plus
