Job Summary
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Customer service to include taking orders, processing orders, answering questions, and direct the handling of customer complaints
- Understand and communicate pricing including calculating prepay and budget accounts
- Coordinate with administrative group to receive incoming product shipments against open purchase orders
- Coordinate with drivers regarding routes, deliveries, and service for customers in a timely and efficient manner
- Ensure clear communication with drivers regarding service and deliveries
- Assist management with inventory including taking inventory, researching discrepancies, and communicating inventories with accounting department
- Participate in continuing education to maintain knowledge for the products and administration involved
- Coordinate and facilitate annual mailers to customers
- Keep accurate records of maintenance and retention
- Receive and apply payments to customer accounts with accuracy
- Monitor and maintain accounts receivables that includes communicating with past due accounts
- Balance cash draw at the conclusion of each workday
- Prepare customer invoices and reconcile customer accounts
- Verify and prepare customer contracts
- Research problem invoices by interfacing with vendors, customers, and other staff
- Run monthly reports for account reconciliation
- Prepare and post deposits
- General office operations such as filing, photocopying, typing, mailing, and data entry
- May be required to cross-train and substitute for other administrative positions
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Knowledge of energy products preferred
- Demonstrated ability to calculate figures and amounts with accuracy
- Proficienct in Microsoft Office
- Strong organizational skills with attention to detail

- High School Diploma, two years related experience, or equivalent combination of education and experience

Work Environment:
- Availability to work extended hours, weekends, and on-call as business conditions warrant (primarily Spring and Fall).

- Must be able to work in a drug-free environment.
- Willingness to conduct work in an office environment that can be noisy and will involve interacting with team members and serving customer needs in an open area.
