THE ROLE
We are seeking a creative, detail-oriented, and execution-driven Fair Coordinator for the Affordable Art Fair Texas team.
This role is equal parts aesthetic strategist, activation producer, and customer experience architect with the mission of creating a B2C experience that leaves an impression on every visitor. The ideal candidate will help translate big-picture ideas into tangible steps with structured phases that result in polished outcomes. Together under the vision of the Fair Director and logistical expertise from the Fair Manager, this role will be responsible for elevating the visitor experience from entry to exit.

Key Responsibilities
Customer Experience Focus
· Executing the visitor experience and customer journey
- Help to brainstorm and then fully execute the visitor journey from entry to exit.
- Ensure all touchpoints (entry, signage, activations, VIP areas, programming spaces) feel intentional, welcoming, and elevated.
- Anticipate visitor needs and proactively implement solutions that enhance flow, clarity, and engagement.
- Act as an on-site presence during the fair to ensure customer satisfaction and seamless experience.
- Assist the Fair Director in shaping the visual identity and spatial flow of the fair that creates stopping points around each of the exhibitors’ booths creating a layout with visual moments that lead to thematic experiences that elevate ones’ overall experience.
- Help to obtain partnerships and programming for the fair and then plan, oversee, and implement activations for fair days that align with the customer experience to drive footfall
- Responsible for fair floor reset each morning during fair days.
Exhibitor Experience Focus
- Help identify and source galleries that align with the evolving visual direction and audience preferences from desk stop research to list management and follow up conversations.
- Evaluate gallery programs, artists, and market trends to support exhibitor selection and ensure the fair continues to evolve with collector demand and curatorial standards.
- Act as an on-site presence during the fair to ensure exhibitor feelings are communicated immediately to the correct team member to continue the seamless management experience that is expect of us.
- Ensure all touchpoints (entry, signage, activations, VIP areas, programming spaces) feel intentional without sacrificing any exhibitor presentation but rather enables and forces visitors to linger around the art.
- Ensures that partnerships and programming bring the customer experience back to the art that is there for the exhibitors to sell.
Activations & Partnerships Execution
- Collaborates on creative direction for branded spaces and experiential moments.
- Works closely with FD during partner meetings to help conceptualize activations ensuring partner activations align with the fair’s aesthetic and do not disrupt visual cohesion
- Works closely with marketing manager to ensure activation and marketing align with customer and partner experience.
- Works closely with the Fair Manager to ensure activation enhances the visitor journey and experience giving more pause on the show floor to purchase art
- The accountable party for fulfillment of partnership contract check list items
Signage & Design Implementation
- Oversee all fair signage (directional, programming, partner, VIP, etc.).
- Effective and clear communication with global design team to ensure alignment in company branding.
- Translate Fair Director feedback into clear creative direction.
- Manage signage production timelines and budgets.
- Ensure all printed and environmental design elements are cohesive and polished.
- Execute and oversee signage installations and de-installations onsite
Ideal Candidate Profile
- Strong visual eye and spatial awareness with experience in event production, exhibitions, brand activations, or experiential marketing.
- Highly organized individual with that is a solutions-oriented worker.
- Thrives in both conceptual brainstorming and detailed execution, with no box unchecked.
- Confident communicator who is calm under pressure when communicating with galleries, exhibitors, partners, designers, or internal teams.
- Understands customer psychology and how physical space impacts behavior and sales.
- Able to work long fair hours during fair week.
- Work closely with the Fair Director and Fair Manager to align vision and logistics.
- Take conceptual direction and independently drive execution.
- Maintain high standards of detail, aesthetics, and organization.
- Operate proactively — identifying gaps and solving problems before they escalate.
- Work on-site, closely, with Fair Manager to oversee fair installation and de-installation.
· The candidate must have exceptional spoken and written English.
DETAILS:
· Salary: $47,000-67,000 /per year
· Based in Austin, Texas – Hybrid Role
· Willingness to travel – an estimated 10-15% of time will be dedicated to travel in the US, Texas, and specifically Houston
· Evening and weekend work will be required
