Position Overview
The Patient Care Coordinator plays a key role in delivering an exceptional patient experience and supporting providers throughout the clinical day. This role ensures smooth patient flow, efficient scheduling, and consistent communication across the NEOSkin team. The ideal candidate is highly organized, attentive, and patient-focused, with the ability to balance clinical responsibilities and administrative coordination in a fast-paced medical spa environment. This position requires an active LPN or RN license.

The Patient Care Coordinator plays a key role in delivering an exceptional patient experience and supporting providers throughout the clinical day. This role ensures smooth patient flow, efficient scheduling, and consistent communication across the NEOSkin team. The ideal candidate is highly organized, attentive, and patient-focused, with the ability to balance clinical responsibilities and administrative coordination in a fast-paced medical spa environment. This position requires an active LPN or RN license.
Key Responsibilities
- Welcome new patients and guide them through the intake process, including Visia skin analysis and completion of all necessary paperwork and consents.
- Create and set up TouchMD accounts, ensuring all Visia photos and patient information are accurately uploaded.
- Provide warm, professional support to patients throughout their visit to ensure comfort, clarity, and satisfaction.
- Assist providers with medical spa protocols and treatments, including preparing rooms, applying numbing cream, providing ice, and capturing before-treatment photos.
- Maintain updated treatment forms and create new forms as needed to support efficient provider workflows.
- Monitor patient needs throughout the day and help manage multiple patients effectively.
- Return patient calls regarding post-treatment questions or concerns and communicate relevant information to providers or management.
- Conduct follow-up outreach for key treatments, including CoolSculpting, lasers, microneedling, Kybella, threads, Sculptra, and all new patients.
- Ensure thorough documentation in patient charts, including communication updates, prescription needs, follow-ups, and reported concerns.
- Troubleshoot issues related to Visia, TouchMD, and Sciton devices, collaborating with vendor reps when needed.
- Support the front desk with scheduling procedures, including Body Clinic appointments, Botox follow-ups, and complex, multi-step treatment visits.\
- Contact pharmacies to order prescriptions and update patients on fulfillment timelines.
- Assist with answering phones, emails, texts, and patient orders as needed.
- Partner with the NEOSkin team to ensure seamless daily operations and provide support wherever needed.
- Follow all HIPAA and confidentiality policies to protect patient information.
- Adapt to shifting priorities based on patient volume and provider schedules, maintaining a calm and organized workflow.
- Active LPN or RN license with a solid understanding of clinical workflows and patient care
