Account Manager Assistant – Aerospace Manufacturing

Position Summary
The Account Manager Assistant supports Account Managers with customer communication, quoting coordination, order processing, and internal follow-up. This role focuses on organization, accuracy, and responsiveness while assisting with customer needs from quote through delivery under the guidance of an Account Manager.
Essential Duties and Responsibilities
Customer Support & Communication
- Assist Account Managers with routine customer communication and follow-up.
- Respond to basic customer inquiries regarding order status, delivery dates, and documentation, escalating complex issues as needed.
- Maintain customer records, correspondence, and account documentation.
- Support resolution of customer issues by coordinating information internally.
Quoting & Documentation Support
- Assist with preparation, tracking, and follow-up of customer quotations (RFQs).
- Review customer documentation and drawings at a basic level to ensure completeness for quoting and order entry.
- Coordinate with internal teams to obtain required information or clarification.
- Help ensure quotes and related documents are properly recorded and distributed.
Order Processing & Coordination
- Assist with entry, review, and processing of customer purchase orders in the ERP system.
- Support timely acknowledgement of customer purchase orders and changes.
- Assist with coordination of customer change orders and documentation updates.
- Maintain accurate order and scheduling records.
Execution & Administrative Support
- Help monitor order progress and support communication of status updates.
- Assist with tracking delivery commitments and identifying potential issues for escalation.
- Support collection and organization of shipping, quality, and customer-required documentation.
- Provide general administrative support to Account Managers as needed.
Outside Processing & Materials Awareness
- Develop a basic familiarity with common aerospace outside processing requirements (heat treat, anodize, plating, etc.).
- Assist with coordination and documentation related to outside processors as directed.
- Gain working knowledge of aerospace materials and certification requirements over time.
Qualifications
- 2–3 years of experience in a manufacturing or customer service office environment; aerospace experience preferred.
- Associate’s degree preferred; equivalent experience considered.
- Comfortable working with customer documentation and basic technical information.
- Experience with ERP systems (JobBOSS or similar) preferred.
- Strong organizational skills and attention to detail.
- Effective written and verbal communication skills.
- Ability to manage multiple tasks in a fast-paced environment.
Work Environment & Additional Information
- Full-time, on-site position.
