Job Summary:
The Associate in Sample Management is responsible for the receipt, handling, tracking, storage, and disposal of samples used in quality control testing. This role ensures that all sample-related activities comply with internal SOPs, regulatory requirements, and good documentation practices. The associate will collaborate closely with laboratory analysts, quality assurance, and other cross-functional teams to support timely and accurate testing workflows.
Key Responsibilities:
- Receive and log incoming samples into the Laboratory Information Management System (LIMS).
- Ensure proper labeling, storage, and chain-of-custody documentation for all samples.
- Coordinate sample distribution to appropriate testing labs and personnel.
- Maintain sample inventory and ensure timely disposal of expired or completed samples.
- Support investigations related to sample discrepancies or deviations.
- Assist in maintaining sample storage areas in compliance with safety and regulatory standards.
- Participate in audits and inspections by providing sample traceability documentation.
- Collaborate with cross-functional teams to improve sample handling processes.
- Follow SOPs and contribute to their periodic review and updates.
- Perform data entry and generate reports related to sample management activities.
Qualifications:
- Associate degree in a scientific discipline or equivalent experience.
- 0–2 years of experience in a laboratory or sample management role.
- Familiarity with LIMS or other sample tracking systems preferred.
- Strong attention to detail and organizational skills.
- Ability to work in a fast-paced, regulated environment.
- Good communication and teamwork skills.
Top 3 Must Have Skill Sets:
- Experience in GMP or ISO-regulated environments.
- Basic understanding of quality control testing workflows.
- Proficiency in Microsoft Excel and other data management tools.
Day to Day Responsibilities:
Sample Handling & Logistics:
- Receive, inspect, and log incoming samples from production or external sources.
- Verify sample integrity, labeling, and documentation upon arrival.
- Assign and track sample IDs using LIMS or other tracking systems.
- Prepare samples for testing (e.g., aliquoting, labeling, storage).
Storage & Inventory Management:
- Maintain sample storage areas (ambient, refrigerated, frozen) per SOPs.
- Monitor storage conditions and ensure compliance with temperature and humidity requirements.
- Perform routine inventory checks and reconcile discrepancies.
Documentation & Compliance:
- Complete sample receipt and disposition forms accurately.
- Ensure all sample-related documentation complies with GMP and internal SOPs.
- Support audits and inspections by providing traceability records.
Coordination & Communication:
- Liaise with QC analysts, manufacturing, and external labs regarding sample status.
- Coordinate sample pickups, deliveries, and transfers.
- Communicate delays, issues, or discrepancies to relevant stakeholders.
System & Process Support:
- Enter and update sample data in LIMS or other electronic systems.
- Support continuous improvement initiatives related to sample flow and handling.
- Participate in SOP reviews and updates related to sample management.
Safety & Housekeeping:
- Follow safety protocols for handling hazardous or sensitive materials.
- Maintain cleanliness and organization of sample management areas.
- Dispose of expired or tested samples per waste management procedures.
Salary : $28 - $32
