We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and ensure smooth administrative functions. Duties
- Manage calendar scheduling, appointments, and meeting arrangements to optimize team productivity
- Oversee vendor management, including procurement and relationship building with suppliers
- Handle bookkeeping, payroll processing, and budgeting activities using QuickBooks and other financial tools
- Supervise administrative staff and coordinate training & development initiatives for team growth
- Maintain filing systems, records management, and ensure compliance with organizational policies
- Manage front desk responsibilities including multi-line phone systems, greeting visitors, and phone etiquette
- Assist with event planning and coordination for company functions or client meetings
- Support human resources functions such as onboarding new employees, maintaining personnel files, and HR documentation
- Oversee office supply inventory and ensure the office environment is organized and efficient
- Perform general clerical duties including data entry, document preparation, and correspondence
Requirements
- Proven experience in office administration or office management roles with strong clerical or administrative background
- Excellent communication skills—both verbal and written—with professional phone etiquette
- Strong organizational skills with the ability to manage multiple priorities efficiently
- Experience with QuickBooks for bookkeeping, payroll, and budgeting tasks
- Supervising experience or team management skills preferred
- Knowledge of event planning, vendor management, and human resources processes
- Proficiency in calendar management software and multi-line phone systems
- Ability to handle front desk operations effectively in a professional manner
- Experience in medical office management or similar environments is a plus
- Demonstrated ability to train staff and support ongoing development initiatives
