We are a busy, customer-focused dealership specializing in [motorcycles / ATV / UTV / marine ] sales and service. We’re looking for a reliable, detail-driven Office Manager / Bookkeeper who understands dealership workflow and can keep the front office running like a well-tuned machine.
Role Overview
This role supports our entire dealership—including sales, service, parts, and management—by handling bookkeeping, administrative operations, customer processing, and daily financial accuracy. You’ll be the go-to person for office organization, numbers, and keeping compliance on track.
Key ResponsibilitiesDealership Office Management
- Oversee daily dealership office operations
- Support sales, service, and parts departments with paperwork & coordination
- Manage vehicle deal files and ensure proper documentation
- Process customer paperwork, title applications, MSOs, and registration documents
- Maintain inventory records and vendor accounts
- Coordinate schedules, calls, emails, and front-office communication
- Maintain office supplies, forms, documents, and digital filing systems
Bookkeeping & Finance
- Handle Accounts Payable & Accounts Receivable
- Reconcile daily sales, cash, deposits, and credit card batches
- Process customer payments, warranty submissions, and parts/service invoices
- Maintain the general ledger and accurate financial reporting
- Reconcile floorplan statements and inventory financing
- Assist with payroll or work with payroll provider
- Support month-end close and year-end accounting
Qualifications
- 2–5 years experience in dealership bookkeeping or office management (auto, powersports, RV, marine, or equipment)
- Strong understanding of accounting fundamentals
- Experience with Lightspeed, CDK, Dealertrack, QuickBooks, or similar systems
- Excellent organizational, multitasking, and communication skills
- Strong attention to detail—accuracy is critical in titling and deal paperwork
- Ability to work independently in a fast-paced dealership environment
- Knowledge of titles, registrations, and MSO/MSD paperwork is a big plus
