Clinical Conference Coordinator

Position Overview

We are seeking a highly organized and scientifically minded professional to support a research-focused team operating at the intersection of healthcare, biotechnology, and strategic decision-making. This individual will play a central role in gathering, evaluating, and organizing scientific information, while ensuring seamless coordination of key industry events, medical congresses, and research activities.

The ideal candidate combines strong analytical capabilities with exceptional project management skills and is comfortable interpreting complex scientific data from a variety of sources. Experience supporting medical conferences, scientific meetings, investigator events, or congress-related activities is highly valued.

Primary Responsibilities

Scientific Research & Intelligence Gathering

• Conduct targeted research utilizing scientific literature, industry databases, subscription-based resources, and publicly available information.
• Aggregate, evaluate, and summarize scientific, clinical, and healthcare-related data to support ongoing research initiatives.
• Monitor emerging developments within biotechnology, pharmaceutical, and healthcare sectors.
• Translate complex technical and clinical findings into concise, actionable summaries for internal stakeholders.
• Maintain organized repositories of research materials, publications, datasets, and reference documents.

Medical Conference & Congress Management

• Serve as the primary coordinator for scientific conferences, medical congresses, and industry meetings.
• Develop and maintain a centralized calendar of major healthcare, biotechnology, and clinical research events.
• Track abstract submission timelines, presentation schedules, key opinion leader sessions, late-breaking data releases, and conference milestones.
• Coordinate registrations, travel arrangements, meeting schedules, and logistical support for team attendance.
• Collect, organize, and distribute conference materials, including abstracts, posters, presentations, and meeting notes.
• Produce post-conference summaries highlighting important clinical updates, scientific findings, and competitive intelligence.
• Monitor upcoming medical meetings and proactively identify events with strategic relevance.

Research Operations & Team Support

• Coordinate internal planning meetings and research review sessions.
• Prepare briefing materials, background research, and presentation content for team discussions.
• Manage calendars, meeting logistics, and communication related to research activities and industry events.
• Attend meetings and document key discussions, decisions, and action items.
• Support ongoing reporting efforts through data compilation, presentation development, and information tracking.

Education

• Bachelor's degree required in Life Sciences, Biological Sciences, Biomedical Sciences, Public Health, Healthcare, or a related technical discipline.
• Advanced degree (MS or equivalent) is advantageous but not required.
• Demonstrated exposure to scientific conference planning, congress management, medical meeting coordination, or healthcare event support is strongly preferred.
• Experience reviewing clinical, scientific, or technical information and communicating findings to diverse audiences.
• Exceptional organizational and project management skills with the ability to manage multiple priorities simultaneously.
• Ability to synthesize large volumes of scientific information into clear and meaningful insights.

Technical Skills

• Advanced proficiency with Microsoft Excel and PowerPoint.
• Ability to quickly learn new research platforms, databases, and information management systems.
• Familiarity with data visualization, data analysis, and reporting tools.
• Exposure to Python, SQL, AI-enabled research tools, or related technologies is a plus.
