Responsibilities
- Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy.
- Coordinate calendar management and scheduling for team members, ensuring appointments are organized and deadlines are met.
- Perform data entry tasks accurately using productivity software such as Microsoft Office and Google Workspace, maintaining up-to-date records.
- Handle clerical duties including filing, proofreading documents, and managing correspondence to support office efficiency.
- Oversee office management functions such as supply inventory, equipment maintenance, and organization of common areas.
- Provide excellent customer support by addressing inquiries promptly and professionally via phone or email.
- Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and manage invoices when necessary.
- Support other administrative functions such as calendar management, document preparation, and technical troubleshooting to ensure seamless office operations.
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Strong computer literacy with familiarity in data entry, bookkeeping (QuickBooks preferred), and technical proficiency.
- Exceptional phone etiquette and customer service skills; bilingual abilities are a plus for supporting diverse clients or staff.
- Previous experience as a front desk receptionist or medical/dental receptionist is advantageous.
- Demonstrated time management skills with the ability to multitask efficiently while maintaining accuracy.
