Hours: Monday-Thursday: (7:30am-5:30pm)
Compensation: $17-19 /hr
Job Summary: Advanced Neuropathy Center is seeking a highly skilled and passionate receptionist to join our team. You will play a crucial role in the success of our clinic by greeting patients when they walk into the clinic and checking them in for their appointments, taking and making phone calls, scheduling appointments, introducing new patient screenings, and helping with marketing efforts. Your communication skills will help keep the office’s schedule full, keep the flow of the day moving at the right cadence as well as help our patients feel that our clinic is the right place for them to get the help they need.
Responsibilities:
- Greet every patient with kindness
- Answer incoming calls
- Make outbound calls
- Respond to text messages
- Respond to incoming faxes
- Follow-Up with leads who haven’t booked
- Follow-Up with no show/cancelled appointments
- Schedule new patient appointments
- Schedule & invite leads/patients to attend seminars/events
- Be willing to help with marketing events on nights/weekends occasionally
- Schedule current patient treatments, re-exams & follow-up visits
- Scan patient paperwork into EHR system and upload into patient files
- Make new patient guidebooks, flyers, etc.
- Keep office supplies (paperwork, business cards, brochures, pens, etc.) stocked
- Assist the Marketing Manager with any tasks that he/she asks for help with: new lead forms, social media management, photo/video content, creating flyers, scheduling events, etc.
- Update stats/KPIs into appropriate software
- Report specific stats to Office Manager and Marketing Manager on a daily basis
- Help handle patient concerns and/or direct to the appropriate staff member
- Help generate referrals, Google reviews, Facebook reviews, etc.
- Be knowledgeable about the company's products & services to assist customers effectively (we will train you).

Qualifications:
- Personality: Outgoing, personable, kind, motivated, go-getter, self-starter, willing to learn & open to change
- Communication: Strong verbal and written communication skills. Ability to communicate clearly and effectively with leads & patients over the phone and in person.
- Customer Service Skills: Excellent customer service skills are a must. This includes being patient, empathetic, and able to handle inquiries, complaints, and requests professionally.
- Problem-Solving Abilities: Able to analyze patient issues and find solutions or provide guidance to resolve problems.
- Multitasking: Ability to handle multiple phone calls or tasks simultaneously.
- Patience: Ability to deal with irate or frustrated patients & remain calm under pressure, as well as have patience with older patients who talk & move slowly.
- Computer Skills: Proficiency in using computer systems and software for managing leads, patient information and recording interactions.
- Adaptability: The ability to adapt to changing patient demands, company policies & software updates.
- Time Management: Being able to manage time effectively to handle a high volume of calls or tasks is crucial.
- Empathy: Showing empathy toward patients' concerns and needs can enhance the patient experience.
- Sales Skills: Help build value of what our clinic has to offer in order to get a lead to schedule an appointment.
- Lead Management: experience using a CRM or with managing new inbound leads is preferred.
- Digital Marketing: experience with any type of digital marketing (social media, youtube, google & using Canva) is a plus.
Requirements:
- Customer Service/Receptionist/Phone Experience
- Experience in a Medical/Health/Wellness clinic
- Marketing experience is helpful, but not required - you will be expected to help with marketing efforts
- Ability to work from 7:30am - 6pm, Monday - Thursday.
- The office opens at 8:00am, so you will be expected to arrive no later than 7:30am to get the office ready for the day, and the office closes at 5:00pm, so you will be the last one to close up for the night after all patients have left.
- Attendance & Time Off Expectations: Consistent attendance and the ability to perform at a high level are essential for success in this role.
- Employees are provided with 4 days of unpaid sick/personal leave annually and accrue 4 days of paid time off (PTO) during their first year of employment. Requests for additional time off beyond the allotted leave will be reviewed on a case-by-case basis. Excessive absenteeism or an inability to maintain regular attendance may impact employment status.
