Responsibilities
- Oversee all aspects of medical office operations, including scheduling, patient flow, and clinical support services.
- Supervise administrative staff, including receptionists, medical assistants, and billing personnel, ensuring high performance and professional development.
- Manage fiscal responsibilities such as financial reporting, billing processes, and reimbursement procedures utilizing systems like Eaglesoft, Tebra, eClinicalWorks, or Epic.
- Ensure compliance with healthcare regulations including HIPAA privacy standards and JCAHO accreditation requirements.
- Coordinate with clinical teams to facilitate efficient clinic workflows and support acute care or specialty services as needed.
- Oversee medical records management in accordance with legal standards and maintain accurate documentation within EMR/EHR systems.
- Administer human resources functions including training, performance evaluations, and conflict resolution.
- Implement office policies and procedures to optimize practice management and enhance patient satisfaction.
- Monitor utilization management and managed care processes to maximize revenue cycle efficiency.
- Maintain up-to-date knowledge of medical terminology, insurance protocols, and healthcare regulations to ensure operational excellence.
Requirements
- Proven experience in medical office management or healthcare administration within a clinical setting.
- Strong supervisory skills with experience leading multidisciplinary teams in a fast-paced environment.
- Extensive knowledge of medical administrative support functions including billing, coding, scheduling, and records management.
- Proficiency in EMR/EHR systems such as eClinicalWorks, Epic, or similar platforms; familiarity with Eaglesoft or Dentrix is highly desirable.
- Experience with medical billing, coding (ICD-10, CPT), and insurance processing
- Demonstrated fiscal management skills including budgeting, financial reporting, and resource allocation.
- In-depth understanding of HIPAA regulations and compliance standards related to medical records and patient confidentiality.
- Excellent organizational skills with the ability to prioritize tasks effectively while maintaining attention to detail.
- Knowledge of medical terminology across various specialties.
- Strong communication skills for effective collaboration with clinical staff, vendors, patients, and external agencies.
- Relevant certifications or training in healthcare management or office administration are preferred but not mandatory.
