About the Job:
We are seeking a highly organized and independent Office Administrator to join our team. This role assists the company with a variety of administrative task to meet company needs including QuickBooks Online based AP/AR support, job tracking and jobs costing, processing of paperwork and forms, organizational activities and supportive functions
Duties You'll Perform:
· Coordinates and manages daily administrative operations.
· Completes Accounts Payable and Accounts Receivable items.
· Completes weekly and monthly reconciliation process.
· Process invoices, purchase orders, and expense reports.
· Creates weekly financial scorecards for the company directors.
· Handles incoming calls, emails, and correspondence promptly and professionally.
· Maintains organized and efficient filing systems.
· Manages office supplies and place orders as needed.
· Oversees the employee timekeeping system and processes bi-weekly payroll.
· Participates in company process and procedure development and optimization.
· Processes necessary purchases for the company including stock orders and parts needs for jobs
· Performs support activities and coordination of the HNTW training program.
· Performs other duties as assigned.
Skills & Abilities You'll Need:
· Possess strong, professional communication skills including email, phone, and in-person.
· Has a fast and efficient work style with an aptitude for accuracy
· Alignment with company value structure, culture and vision
· Ability to work with both great autonomy and with a team when required. Exceptional teamwork skills and communication skills required
· Excellent organizational skills and attention to detail. This includes keeping all workspaces tidy.
· Ability to solve problems independently and accurately.
· QuickBooks Online Experience required
· Microsoft Office suite experience required
· Ability to operate a multi-line VOIP phone system
- Experience with Rippling Payroll preferred
Education & Experience You Have:
• 5 years administrative experience required, two of which must be in a trades business.
· A high school diploma, or GED equivalent, is required.
· A valid driver's license is required.
Work Environment:
- In office based with business hours (7:00 AM to 4:00 PM)
