Coria Landscape Inc is a fast-growing commercial landscape construction company operating throughout Oregon and Washington. We run a fast-paced, tech-forward office environment that supports field operations, project management, compliance, billing, and vendor coordination. We are looking for a reliable, organized Office Administrator who thrives in a dynamic environment and can keep information flowing cleanly and efficiently.
Position Summary
The Office Administrator supports daily operations including document management, digital organization, data entry, communication, and general administrative tasks. This role requires strong technical skills, proactive problem-solving, and the ability to learn new systems quickly.
Key Responsibilities
- Manage incoming emails, phone calls, and internal/external communication with professional etiquette
- Greet visitors and applicants and notify the appropriate staff member of their arrival
- Maintain and keep organized hard copy files, receipts, and documentation
- Maintain digital files, shared drives, and documentation (Google Drive / OneDrive)
- Support daily administrative workflows: data entry, document creation, form management, scanning/uploading
- Assist finance, admin, and leadership with administrative tasks as assigned
- Update spreadsheets, forms, and logs (Google Sheets, Smartsheets, Excel)
- Track deadlines, reminders, priorities, and time-sensitive tasks
- Coordinate office supplies, and general office upkeep
- Support onboarding documentation and internal communication as needed
Required Qualifications
- 1 year of administrative experience
- Proficiency in Google Workspace (Drive, Sheets, Docs) and/or Microsoft Office
- Strong digital organization and file-management abilities
- Fast learner with strong adaptability to new tools and technology
- Professional email, phone, and written communication skills
- Reliable, punctual, and able to work Monday–Friday, 9:00 AM–5:00 PM
- Strong attention to detail and follow-through
Preferred Qualifications
- Experience supporting a construction, landscaping, or field-service business
- Comfort navigating multiple software systems: we currently use Google, Microsoft Office, Smartsheets, Aspire, and Quickbooks
- Bilingual English/Spanish (not required but a plus)
