The Office Assistant is responsible for the day-to-day operations of the office. This position requires a hard-working, detail-oriented individual with the ability to multitask, as well as the ability to work independently. Duties include, but are not limited to, answering phones, greeting visitors, scanning and filing documents, verifying insurances, and performing other administrative tasks as assigned. This position requires a high level of attention to detail and accuracy in completing tasks. We strive to create a welcoming environment and the Office Assistant plays a critical role as the first point-of-contact with the office.
We are currently looking to fill a part-time position with the possibility of the position becoming full-time for the right candidate. The work schedule for the position we are looking for is Mondays, Tuesdays, and Wednesdays each week from 8am to 5pm.
Requirements:
Requirements: High School Diploma or GED required; Associate’s Degree preferred.
- Minimum 2 years of experience in a related field.
- Knowledge of Microsoft Office Suite.
- Friendly and outgoing personality.
- Ability to effectively communicate both verbally and in-writing.
- Ability to maintain protected health information.
- Ability to multi-task between administrative duties and patient care activities.
- Ability to work in a fast-paced environment and handle multiple requests simultaneously with minimal supervision.
- Ability to work both independently and as part of a team.
Responsibilities:
- Greet clients at the front desk upon their arrival, collect appropriate co-pays, ensure documentation is up-to-date and complete and help to ensure a welcoming environment during their time in our waiting area.
- Engage with the clients as they leave their appointment to ensure they are appropriately scheduled for follow-up appointment(s).
- Collect and verify client insurance information including, but not limited to, insurance coverage, benefits, deductible/co-payment information, etc. to ensure correct insurance benefits are applied in accordance with their specific plans.
- Review all new-client initial paperwork to ensure all information is received and is accurately completed prior to their initial appointment and is sent for updates at least annually thereafter, or when there are any changes.
- Complete reminder calls 24-hours prior to appointments for scheduled intake appointments.
- Perform follow-up/re-engagement for clients who miss appointments without contact for the day prior and weekly for the next 30-days after that initial missed appointment.
- Perform other duties as assigned that may include, but not limited to, responding to general phone calls/emails/business messages, scheduling/re-scheduling of appointments, maintaining a clean waiting room/common area, restocking supplies, requesting re-order when needed to maintain supplies.
- Experience submitting billing, reconciling billing reports, and contacting insurance companies when needed may also be asked. Experience prefered but training can be provided.

Salary: $15.00 - $17.00 per hour
Schedule:
- 8-hour shifts during days with one-hour for lunch.
- Day shift.
- Mondays, Tuesdays and Wednesdays with some occasional Thursdays and Fridays if covering for a counterpart who works those days. Would also consider evenings if you desire more hours aside from the 3-days per week.
- No weekends
